Terms and Policies

Terms of Business

Bookings

When a Client makes a booking, they agree to these Terms and Conditions.

Services

Prior to tuition, a verbal or written assessment will be performed to ascertain current skills and gaps.  The assessment time will be a chargeable service at the agreed rate.

A typical tuition session will involve a short review of previous work and a mix of explanation, verbal questions and exam-style questions to check understanding. Students will be given work to complete during the session and may be given homework to complete in their own time to accelerate progress.  This approach may be changed if the Tutor deems it necessary to meet the needs of the Student.

 

While tuition is carried out to the best of ability, Oxford Tutoria Ltd and The Tutor cannot guarantee the student’s performance in exams or assessments.

Obligations

The Client agrees to provide quality time, adequate equipment, internet connection and a comfortable learning environment for their child, with no distractions.  No other child or adult should attend sessions except for safeguarding purposes.

 

The Student agrees to attend all scheduled lessons, to work attentively, complete homework on time and be pro-active in progressing their education.

 

The Tutor agrees to carry out all necessary preparation for each session to maximise the Student’s learning.  

 

All parties agree to Oxford Tutoria Ltd’s Safeguarding, Privacy and Data Protection Policy.

Fees and Payments

The Client will be invoiced at the end of each month.  Oxford Tutoria Ltd may charge in advance for certain circumstances.  Payment is due within 5 days.  Overdue payments will be subject to a £5 administration fee and any further chasing fees will be charged at £50 per hour or part thereof.

 

Cancellation, No Show And Technical Difficulties

Cancellations, lateness and no-shows with 24 hours or less notice will be charged at the full rate. Sessions delivered in part due to no-fault or technical difficulties will have minutes added to the next session or the invoice reduced to the nearest 10 minutes.

 

Ending the Agreement

The agreement automatically terminates at the end of the contract period or with 5 days notice by any party.  The Client must pay for any sessions scheduled within the notice period.

 

Intellectual Property 

Any materials are the sole property of their creator and may not be shared, edited or reproduced in any form by any other party.

These terms are bound by English law and all parties agree to the jurisdiction of the English courts for disputes.

Safeguarding Policy

 

Oxford Tutoria Ltd takes child safety extremely seriously.  

 

Parents/Guardians should:

  • Ensure the student always has a responsible adult within earshot during the session and that there are no other distractions on the computer or surrounding area.

  • Regularly talk to the Student about their Tutoria Ltd sessions and join sessions randomly without notice.

  • Make sure the student understands that they must only communicate with the Tutor during the session and must not make contact using any other means.

  • Raise any concerns they have about the quality or effectiveness of provision at the earliest opportunity.

  • Consult Child Protection Helplines or Child Protection Services at their local authority if they have concerns, or contact the police if they believe a crime has been committed.

 

The Tutor should:

  • Hold an up-to-date enhanced disclosure and barring service (DBS) check and certificate.

  • Maintain a professional relationship with the Student, Parents/Guardians

  • Start and end sessions at the agreed time

  • Dress professionally, obscure their background of personal effects and not have any items other than things required for the session open on their computer screen.

  • Where appropriate, discuss concerns about the Student’s wellbeing with parents as soon as they arise.

  • Not record sessions unless requested, in which case, all parties must consent in writing.

  • As an adult working with children, the Tutor owes the child a duty of care. This means that in certain circumstances they may be obliged to report concerns to the police and/or Child Protection Services or the Student’s school.

Privacy and Data Protection Policy

 

In accordance with the Data Protection Act 2018, The Privacy and Electronic Communications (EC Directive) Regulations 2003 and UK GDPR, Oxford Tutoria Ltd will keep, the following data: tutoring agreements; calendar bookings, copies of correspondence; contact details: payment records; student work, session recordings, reports and assessments.

 

Oxford Tutoria Ltd and The Tutor will not share any information about the Student or Parents with any other party and not communicate with the Student’s school except for safeguarding purposes.

 

Contracts and payment details will be kept for 6 years following termination of the contract for tax purposes. 

 

All other data will be kept for the duration of the contract and one year following termination of the contract.  This data may be deleted earlier with a request by The Client's in writing.

 

All parties agree to notify each other immediately should a data breach occur.
